Staff | Facilities & Operations Team Member
Full-time, 12 month | Non-exempt
Reports to: Director of Facilities
POSITION SUMMARY
The Facilities & Operations Team Member provides operational support to the Facilities Department and plays an important role in maintaining a safe, functional, and well-maintained campus. This position is responsible for supporting the daily maintenance and efficient operation of school buildings, grounds, and equipment.
The role includes performing and assisting with routine repairs, preventive maintenance, and emergency work orders throughout the physical plant. Responsibilities may include minor plumbing repairs, basic electrical work, drywall and painting, carpentry, and other general maintenance tasks.
Grounds responsibilities include, but are not limited to, lawn mowing, shrub trimming, weeding and landscape bed maintenance, snow shoveling, salt and ice-melt application, and other seasonal grounds and winter maintenance duties.
The successful candidate will possess strong communication and organizational skills, demonstrate the ability to manage multiple priorities in a dynamic environment, and work effectively both independently and as part of a team. This position requires a collaborative and service-oriented approach when working with Facilities and Custodial team members, as well as faculty, staff, students, and other members of the broader school community.
ADMINISTRATIVE & COMPLIANCE SUPPORT
- Provide administrative and operational support to the Facilities Department Director and Facilities Department staff.
- Maintain accurate, organized, and accessible digital and physical records, including vehicle registrations, elevator inspections, fire extinguisher inspections, emergency lighting documentation, and other facilities-related records.
- Maintain and update checklists, logs, and documentation used for quality control, procurement, key management, regulatory and safety inspections, preventive maintenance, and completed work.
- Assist with tracking inspection schedules, required documentation, and recurring facilities-related compliance requirements to help ensure timely completion and accurate recordkeeping.
OPERATIONAL SUPPORT
- Respond to and complete tasks assigned through the Academy’s work order and preventive maintenance systems, coordinating with the Buildings and Grounds Supervisors to prioritize and complete assigned work.
- Maintain accurate and timely updates within the work order system and communicate the status of requests to appropriate members of the school community.
- Assist with the Academy’s preventive maintenance program for mechanical equipment, building systems, and other campus assets.
- Provide occasional support for custodial and janitorial needs, including special event cleaning, quality control, and incident response.
- Assist with identifying, maintaining, and ordering appropriate cleaning supplies, materials, and equipment as needed.
- Collaborate with Facilities and Custodial team members to respond to changing operational needs and priorities across campus.
QUALIFICATIONS
- High school diploma or equivalent required; associate degree, technical certification, or additional relevant training preferred.
- Five or more years of relevant facilities, maintenance, operations, or related experience preferred.
- Demonstrated experience performing general building maintenance and repairs; experience with basic plumbing, electrical, carpentry, painting, and similar trades preferred.
- Strong organizational skills with excellent attention to detail and the ability to manage multiple priorities in a dynamic environment.
- Self-motivated and proactive, with the ability to work independently with minimal supervision and exercise sound judgment when necessary.
- Strong verbal and written communication skills, with the ability to communicate effectively and professionally with colleagues, supervisors, school administrators, vendors, and other members of the school community.
- Professional and collaborative interpersonal skills, including a high level of integrity, discretion, reliability, and a strong work ethic.
- Ability to appropriately handle confidential and sensitive information.
- Proficiency with Google Workspace and Microsoft Office applications and the ability to learn new software, applications, work order systems, and other technology used by the Facilities Department.
- Experience with project coordination or project management preferred.
- Ability to work collaboratively and collegially as part of a team and contribute positively to a diverse school community.
- Valid driver’s license required.
- Successful completion of a criminal background check as a condition of employment.
PHYSICAL DEMANDS & WORK ENVIRONMENT
- To perform essential functions of the job, the following applies:
- Ability to regularly stand, walk, bend, stoop, kneel, crouch, reach, push, pull, and perform repetitive physical tasks.
- Ability to safely lift, carry, push, and move materials, equipment, and supplies weighing up to 50 pounds.
- Ability to safely use ladders, hand tools, power tools, grounds equipment, and other equipment necessary to perform assigned duties.
- Ability to work both indoors and outdoors in varying weather conditions, including heat, cold, rain, and snow.
- Ability to perform grounds and seasonal maintenance activities, including mowing, landscaping, snow shoveling, and application of ice-melt materials.
- Ability to work in mechanical spaces and other areas that may require climbing, reaching, bending, or working in confined or limited-access spaces.
- Must be able to respond to facilities-related needs throughout the campus and move between buildings and work locations as required.
